Responsibilities

• Deliver a centralised training and competency management solution for the department, providing clear visualisation of training status and competency coverage.
• Elicit and document user requirements by engaging key stakeholders, mapping current training / competency processes and defining data standards (e.g. training categories, competency levels, validity periods and evidence requirements).
• Design and build a structured dataset (e.g. SharePoint List / Excel / database) to capture training records, competency profiles, role requirements and supporting evidence, ensuring data integrity, traceability and appropriate access control.
• Develop dashboards and visual reports (e.g. Power BI) to provide management visibility of training progress, competency gaps, upcoming expiries and compliance status.
• Implement practical workflows to enable ongoing updates and maintenance (e.g. automated reminders, approval steps and audit trail), and produce supporting documentation.
• Conduct testing, validation and troubleshooting to ensure the system is accurate, user-friendly and aligned with operational requirements.
• Produce a complete handover pack, including a user guide, data dictionary, system logic/assumptions and a recommended governance and maintenance approach to sustain the solution.

Requirements

• University undergraduate (preferably in Information Systems, Data Science/Analytics, Business Analytics, Computer Science, Information Management, or a related discipline).
• Relevant coursework or projects in data modelling, dashboard development, database concepts, business process mapping, or workflow automation would be an advantage.
• Proficiency in Microsoft Excel and Microsoft 365 tools (e.g. SharePoint, Power BI); knowledge of Power Automate and/or Power Apps would be an advantage.
• Ability to structure and manage data effectively, including basic data modelling, data cleansing and ensuring data quality.
• Strong analytical skills with the ability to translate operational requirements into clear system logic, reporting metrics and practical workflows.
• Good communication and documentation skills to engage stakeholders, capture requirements and produce clear user guidance.
• A keen interest in process improvement, problem-solving and developing efficient, sustainable solutions.
• Experience or exposure to data visualisation, reporting or dashboard development (e.g. Power BI, Tableau) would be beneficial.
• Any internship/placement or project experience involving workflow improvement, stakeholder requirements elicitation, basic database management, or the development of digital tools would be an advantage.
